2. Data We Collect

We collect the following categories of personal data:

  • Identification data: first name, last name, professional email, company name, job title, phone number (provided via contact, demo booking, or partner forms).
  • Navigation data: IP address, browser type, device information, pages visited, time spent, referral source (collected via technical and, with consent, analytics cookies).
  • Usage data: interactions with the platform, process execution logs, agent interactions (when you use the AletheIA product).
  • Commercial data: subscription details, billing information, payment history (for customers).

3. Purpose of Processing

We process your data for the following purposes:

  • Manage your information requests, demo bookings, and partner applications.
  • Provide access to the AletheIA platform and execute your processes with AI agents.
  • Send commercial communications about AletheIA (only with your explicit consent).
  • Improve our services, analyze website usage, and develop new features (legitimate interest).
  • Comply with legal obligations (accounting, tax, anti-fraud).
  • Exercise or defend legal claims.

4. Legal Basis

Processing is based on: (a) your explicit consent (Art. 6.1.a GDPR) for contact forms, demo bookings, commercial communications, and non-essential cookies; (b) contract execution (Art. 6.1.b GDPR) for delivering the AletheIA service to customers; (c) legitimate interest (Art. 6.1.f GDPR) for service improvement, security, and analytics; (d) legal obligation (Art. 6.1.c GDPR) for accounting and tax compliance.

5. Data Retention

We retain your data for as long as necessary to fulfill the purposes described: contact and demo requests — 2 years from last interaction; commercial communications — until you withdraw consent; customer data — duration of the contractual relationship plus 6 years for legal obligations; navigation/analytics data — 14 months (Google Analytics default) or until cookie consent is withdrawn; platform usage data — as defined in the Data Processing Agreement.

6. Your Rights

Under GDPR (Arts. 15–22) and LOPD-GDD, you have the right to:

  • Access your personal data and obtain a copy.
  • Rectify inaccurate or incomplete data.
  • Erase your data ("right to be forgotten") when processing is no longer necessary.
  • Restrict processing under certain conditions.
  • Data portability — receive your data in a structured, commonly used format.
  • Object to processing based on legitimate interest or for direct marketing.
  • Not be subject to automated decision-making with legal effects.

You can exercise these rights by emailing support@hrscout.es with "Data Rights" in the subject line, or by using the "Manage Cookies" link in the footer. We will respond within one month. You may also file a complaint with the Spanish Data Protection Authority (AEPD) at www.aepd.es.

7. International Transfers

Your data may be transferred to: (a) Anthropic PBC (USA) for AI agent processing — governed by Standard Contractual Clauses and the EU-U.S. Data Privacy Framework; (b) Google LLC (USA) for analytics — governed by Standard Contractual Clauses; (c) Cloud infrastructure providers (AWS, Vercel) within the EEA or under adequacy decisions. No other third-country transfers occur.

8. Security Measures

We implement appropriate technical and organizational measures: encryption in transit (TLS 1.2+) and at rest (AES-256), access controls, pseudonymization where feasible, regular security assessments, incident response procedures, and staff training. Our subprocessors are contractually bound to equivalent protections.

9. Data Protection Officer

10. Changes to This Policy

We may update this Privacy Policy to reflect legal or operational changes. Material changes will be notified via email (if we have your contact) or through a prominent notice on the website. The "Last updated" date at the top reflects the latest revision.
